Your OCA Google account will be suspended 1 week after your last day of employment. Please read through this document thoroughly and make sure to complete the action items by that dayPlease confirm with Ms. Taffel when everything is done. 


1. TRANSFERRING TO YOUR PERSONAL ACCOUNT


If you would like to keep any of your work after you leave OCA,  you will need to copy and transfer your files to another Google account before the above date. If you do not have a Google/Gmail account, you can create one here


What you can transfer

  • Email in Gmail (not contacts, chats, or tasks)

  • Documents that you own in Google Drive 

The original files stay in your school account but will not be available after your account is suspended. Any changes you make to the copied files (in your new account) don't affect the originals.

Prepare your files

To copy content that other people have shared with you but don’t exist in your school google drive, you will need to add those files to “My Drive.” Meaning: this process will not copy over documents that have only been shared with you, if they have not also been added to your drive. If you wish to keep those as well, you will need to add them to your drive first from the “Shared with me” folder.. 

Start the transfer process

  1. While signed into your school account, go to Google Takeout Transfer.

  2. Enter the email address of the non-OCA Google Account where you want to copy your content.

  3. Select “Get code.”

  4. Check your personal Gmail inbox for a confirmation email from Google. Select “Get confirmation code.” A new tab will open with a code.

  5. On your school account, go back to the "Transfer your content" page. Enter the code, then choose “Verify.”

  6. Choose the content you'd like to copy, then select “Start transfer.”

Details about the transfer process

The copy process usually happens within a few hours, but it can take up to a week. Copied files might appear in batches on your Google Account during the copy process. When your files are finished copying, you'll get an email at your Gmail address. For more information, please see this link

2. Uploading OCA files from your personal computer

If you have any school-related files, such as student information, grades, photos/videos of students, lesson plans, etc, please upload them to your Drive account before your last day. We will be transferring any classroom and educational files to your supervisor and any photos/videos to a shared drive. 

Please go through all of the folders on all of your personal devices (laptop, desktop, mobile phone, tablet, etc.) to make sure you are uploading ALL OCA-related files. Please also check that any files from your classroom computer (if relevant) are uploaded to Google Drive. 

What you need to upload

  • Any files/documents/records/notes regarding any OCA students. 

  • Photos and videos featuring any OCA students

  • Lesson plans, projects, and any other school-related materials

Preparing your files to upload from your computer

Once you have identified and located all of the files and pictures that you need to upload, create a folder on your computer called “OCA” and move all of the files into that folder. Make sure you are MOVING the files into the new OCA folder and not merely COPYING the files. To do this, select the files you will be moving to the OCA folder and then hit Ctrl (or Command) + X in the source location. Then, navigate to the OCA folder and hit Ctrl (or Command) V

Uploading pictures/videos from your smartphone or tablet

If you took any pictures or videos of students on your smartphone or tablet (or an actual camera), you must upload them to your Google Drive account and delete them from your device. To do this, you will need to connect your smart device to your computer via USB. More detailed instructions can be found here for Android smart devices and here for Apple smart devices. Transfer the files directly into the OCA folder that you created in the previous step. 

Uploading your files to Google Drive

Once you have moved all of your documents into your new OCA folder, please follow these instructions on how to upload the entire folder into your Google Drive. Please allow a little bit of time if you are uploading a lot of data.

Deleting your files

All files containing student information and all pictures/videos of students must be deleted permanently from any and all of your devices. You are welcome to keep any course material or lesson plans that do not contain any student information.
